Over the past few months, we've been publishing reviews of each component of Lone Wolf's Complete Enterprise Solution. So far, we've covered their back office solution, virtual front office system, a new automated drip marketing program, and even a website and marketing platform for agents.
Every piece of the Complete Enterprise Solution fits together, with data from each program flowing seamlessly into the others. For our final product review of the year, we're focusing on a new piece of the puzzle that enables brokers, agents and administrators, based on permissions, to manage transaction documents, workflow and checklists from start to finish from within Lone Wolf's software suite.
loadingDOCS is a document management and storage solution that integrates seamlessly with the Complete Enterprise Solution. Here's a brief look at what it offers:
loadingDOCS plugs into the Complete Enterprise Solution via WOLFconnect, the suite's front office component. Every agent and administrator works from their own clipboard in loadingDOCS. From the clipboard, users can upload documents in PDF format, view a checklist of documents and tasks, track the status of those documents and tasks, preview documents, review previous versions of documents, and more.
The program has a number of smart solutions that make agents' lives easier, including the ability to split packages of PDFs into separate documents. loadingDOCS keeps agents and staff abreast of document status changes too, with emails sent automatically to notify agents of approvals, incomplete documents, and to remind them of missing documents. There's even a document checklist for easy management of deals with configuration for property type and due date.
The admin management capabilities of loadingDOCS lets your administrators keep track of all brokerage transactions quickly and easily. Administrators can view a list of all transactions and see, at a glance, how many documents in each transaction are missing, incomplete, not yet approved, and complete. Admins can then click on an individual transaction to see documentation details and update their status, as needed.
As previously mentioned, loadingDOCS integrates with brokerWOLF, Lone Wolf's back office management solution. Information flows both ways--a document changed in loadingDOCS automatically updates in brokerWOLF, and vice versa. For example, if a closing date changes or a business contact is added, the updates are synced in real-time between both solutions. Brokers and administrators are able to see the status of a document from within a transaction record in brokerWOLF:
loadingDOCS also serves as a bridge between your customers and your brokerage, thanks to a client portal that gives buyers and sellers access to necessary documents. Clients can even reprint movingWOLF eCoupons from the portal--another feature of the Complete Enterprise Solution's seamless integration.
When dealing with sensitive client information, security is a critical concern. When considering any solution that handles client data, set your standards high. Walk away from any product that doesn't take data security seriously.
Lone Wolf Data Facilities are SSAE 16 compliant, and boast a 99.999% uptime guarantee. The data itself is backed up in multiple Tier IV Data Centers with 24/7 monitoring and strict access controls.
For brokers wondering more about the practical side of data storage, the news is good. Storage is unlimited; the cost is factored in to the price of loadingDOCS, so there are no surprise fees. Documents themselves are stored for two years and archived for seven.
Lone Wolf also ensures that you have control over your data. Brokers always have access to FTP, so you can download documents to your own server, if required. Exported data can be sorted and labeled by file number.
Lone Wolf is constantly adding new features to loadingDOCS. We've got the scoop on what to look forward to in 2014:
