Which Transaction Management Tool is Right for Your Brokerage? (Part 2)

Yesterday, we took a look at the first of two transaction management solutions for brokerages. Today, we're highlighting Form Simplicity, a Realtor-owned platform from our 2017-18 Technology Guide.

What is Form Simplicity?

Form Simplicity is a forms and transaction management solution that is, true to its name, simple for real estate professionals to use. The program is owned by Florida Realtors, who ensures its ongoing development is, in part, shaped by a panel of REALTOR members who ensure that the program stays in step with what agents and brokers need to be successful.

Form Simplicity meets the needs of brokers via features like:

  • Real-time visibility and control of agents' transactions, including the ability to create broker submittal checklists to automate the process of approving agents' transactions
    The ability to create custom brokerage-wide clauses and forms packages
  • Integrated esignature capabilities

What does Form Simplicity offer?

While our Technology Guide already offers questions you can ask when evaluating a transaction management solution, we wanted to offer a few more to help you in your selection process:

  • Can clients access documents related to their transaction? Yes, via Form Simplicity's "Collaboration" feature.
  • Does Form Simplicity integrate with third-party forms and eSignature tools? No, but the solution does offer a form library populated by the MLS, association, or brokerage. Forms must be submitted to Form Simplicity to be added to the library.
  • Does Form Simplicity offer transaction checklists to keep my agents on track? Yes, and tasks are color-coded according to their status for ease of use.
  • Can Form Simplicity integrate with my back office or accounting software? No.
  • Does Form Simplicity offer broker review/compliance features? Yes, and you can learn more here.
  • Does Form Simplicity offer document storage, or will I need to use a third-party solution like DropBox? Yes, with limited storage for basic subscriptions. Unlimited storage is available for those with an "Ultimate Edition" subscription.
  • Are documents within Form Simplicity automatically populated with MLS transaction data? Yes.
  • Can users email documents in/out of the system? Yes, via a unique email address. Individual PDFs must be under 5 MB each.
  • Does Form Simplicity offer user-based access permissions? Yes, as well as tracking of all activities within a transaction.
  • Can users split documents within Form Simplicity? No, but documents can be merged.
  • Can I brand the Form Simplicity interface to my brokerage? Yes, you can create custom "skins" to match your brokerage's branding.

Is Form Simplicity right for my brokerage?

If you belong to one of the many MLSs and associations that offer Form Simplicity as a member benefit, Form Simplicity may be a great option for your brokerage. (Form Simplicity is available as a member benefit to all members of Florida Realtors, as well as those of several MLSs around the country.) Benefit or not, brokers can also subscribe to Form Simplicity independent of their MLS or association.

One perk of being a Form Simplicity user is your access to support via Tech Helpline. Like Form Simplicity, Tech Helpline is owned by Florida Realtors and provides support to Realtors for issues with not just Form Simplicity, but with tech problems like printer issues, document issues, computer issues, and more. Brokerages can boost agent productivity and reduce time spent troubleshooting tech issues by leaning on Tech Helpline's support.
