Do you know how, where, and when your transaction data is being used?

Brokers are overwhelmingly turning to cloud solutions to manage and complete transactions, and the handling of that transaction data is a top concern. As the facilitators of the real estate transaction, brokers are responsible for the care of sensitive client information. Are your technology vendors transparent about how and where they store your business data once it has been entered into their system?

We were joined by special guests Glenn Shimkus and Georg Gerstenfeld of DocuSign, a global leader in the push for standards in digital transaction management. Brokers from across the nation tuned in to the webinar to learn key considerations and questions to ask technology providers.

When it comes to digital transaction management (DTM), what brokers must realize is that while the benefits are great, there are also significant risks involved. That's why it's critical to carefully choose the right technology vendors to realize the gains of DTM without jeopardizing your brokerage and your clients.

According to Shimkus, DocuSign views data similar to how a bank views deposited money. "It's the broker's data. We're just acting as a steward and a protector of that information."

Shimkus and Gerstenfeld recommend asking technology vendors the following questions to better understand how they handle and secure your data:

  • Do you resell customer data in any format?
  • Does anyone in your company have access to data in the system?
  • Does your company do background checks on employees that have access to the data?
  • How long does your company store the data?
  • How often does your company purge old data?
  • How will data be protected if integrated with other third party vendors?
